Managing your ensemble
An ensemble connects your drills to the people who perform them. Members join with a code and open your drills in the DrillFlo Mobile App. Everyone in an ensemble has a role:
- Admin manages the ensemble: its name, join code, seats, members, and drills.
- Designer can publish drills to the ensemble.
- Member can open the ensemble’s drills in the app.
Create an ensemble
Section titled “Create an ensemble”-
Open Ensembles. On My Designs, click Ensembles in the sidebar.
-
Click New ensemble. If you don’t have one yet, you can also click Create your first ensemble.
-
Name it. Type a Name, then click Create ensemble. DrillFlo makes a join code for you and opens your ensemble’s setup page.
Set up your ensemble
Section titled “Set up your ensemble”The setup page walks you through three steps.
-
Name the ensemble. This is the name members see when they join. To change it, click the name, type a new one, and click Save (or press Enter).
-
Share the join code. Click Copy to copy the code, or Download poster to get a printable poster with the code on it. Give the code to your members so they can join in the mobile app.
-
Seats for the mobile app. Members need a seat before they can open drills on their phones. The badge shows Students can join when your ensemble is ready, or Needs seats if you still need to add them. Follow the options in this step to add seats.
Manage members
Section titled “Manage members”Members show up in the Members list after they join. Each row shows their name and email, and the ensemble’s creator is marked Owner.
-
Change a role. Choose Member, Designer, or Admin from the menu in that member’s row. You’ll see a message like “Updated to Designer”.
-
Start fresh. The owner can click Remove all members to clear the list, like at the start of a new season. Click Remove all members again to confirm. Everyone will need to join again with the code.
Add drills to your ensemble
Section titled “Add drills to your ensemble”Under Drills on this ensemble, click Add a drill, then click Add next to the design you want. You’ll see “Drill added to ensemble”. Members see the drill after they join.
You can also publish from the field editor:
-
Open Publish to Ensemble. In the editor’s menu bar, click Project, then click Publish to Ensemble.
-
Pick an ensemble. Choose one from the Ensemble menu. You’ll see ensembles where you’re an Admin or a Designer.
-
Click Publish to Ensemble. Members see the drill right away. The window also shows where the drill is Currently published to.
Join someone else’s ensemble
Section titled “Join someone else’s ensemble”-
Click Join ensemble. On the Ensembles page, click Join ensemble.
-
Enter the code. Type the Join code from your director and click Join ensemble.
The ensemble appears under Ensembles You Are a Member Of. If an admin makes you a Designer, it moves to Ensembles You Design For, and you can publish drills to it.
Edit or remove an ensemble
Section titled “Edit or remove an ensemble”On the Ensembles page, find your ensemble under Ensembles You Manage.
- Edit it. Click the pencil icon (Edit ensemble). Change the Name or Join code, then click Save changes. A join code needs at least 5 characters and can’t match another ensemble’s code.
- Remove it. Click the trash icon (Remove ensemble), then click Remove ensemble to confirm. You can create a new ensemble with the same name later.
- Publishing moves a drill. A drill can be on one ensemble at a time. Publishing it to a different ensemble moves it off the old one.
- Keep an admin. You can’t remove your own Admin role if you’re the only admin.
- Get back to the list. On an ensemble’s page, click Back to Ensembles.
